Waitlist Pro - Privacy Policy

This policy explains how the Waitlist Pro app for Wix ("Waitlist Pro", "the app") handles information. Waitlist Pro is made by AK Digital (Anna Kheifets), Ashqelon, Israel ("we", "us"). Contact: support@ak-digital.com.

What Waitlist Pro is

Waitlist Pro lets a business that uses Wix Bookings keep a waitlist for its appointment services. Site visitors join the waitlist from a form on the site. When a booking is cancelled, declined or rescheduled, the app checks that the freed time can really be booked and emails the people on the waitlist who match it, so they can book it. The app runs entirely on Wix: its backend is hosted by Wix, its data is kept in the site's own Wix data collections, and its emails are sent by the site's own Wix Automations.

Who is responsible for the data

For the personal information of people who join a waitlist, the site owner who installed Waitlist Pro is the controller (the "database owner" under Israeli law): they decide to collect it and use it to offer appointments. AK Digital acts as a processor and only processes it to run the app for the site owner. Site owners are responsible for telling their visitors about the waitlist in their own site's privacy policy.

Information we process

People who join a waitlist (site visitors and clients of the business)

• The details entered in the join form: name, email address, phone number (optional), the service, the date range, preferred times of day (morning, afternoon, evening), the staff member (optional) and the language of the form (Hebrew or English).

• A consent record: the form has an unticked checkbox that must be ticked to join. We store that consent was given, when it was given, which version of the consent wording was shown, and where it was given (the service page form, the waitlist widget, or added by the site owner, who must confirm they have the person's consent).

• Waitlist activity: the entry's status (waiting, notified, booked, expired), its place in line, when and how often the person was emailed, the time offered to them, and, if they book that time, the booking ID, the booking time and the service price as recovered revenue. A log of offers sent (entry ID, service, time offered, booking link, and whether sending worked) is kept for the site owner.

• A contact in the site's Wix Contacts with the label "Waitlist", created from the name, email and phone (or an existing contact with the same email is reused). Wix Automations uses this contact to send the offer email, which includes an unsubscribe link.

• One-tap booking: when a person who got an offer email presses "Confirm booking" on the service page, the app creates the booking in the site's Wix Bookings with the name, email and phone they gave when they joined, so the business receives it like any other booking. The email link carries a signed code that only works for that person and that time, and it expires.

• When a booking is made on the site, the app reads the booking's email address and time from Wix Bookings only to check whether it matches a waitlist offer, so the booking can be counted as recovered. It does not store bookings that do not match.

• Spam protection: to limit abuse of the public form, the app counts recent joins per IP address and per email address. These counters are stored only as one-way hashes (no raw IP address or email), and they expire after a short time (one hour for IP addresses, one day for email addresses) and are then cleared. The form also has a hidden field that catches automated sign-ups.

• Waitlist Pro does not use cookies, tracking pixels or analytics on the site.

Site owners (the people who install Waitlist Pro)

• The settings you choose in the dashboard: mode, hold time, days ahead, notification cap, entries per person, auto-expire, one-tap booking on or off, which updates you get, the join form's field options, and the dashboard language. A random key, used only to sign the booking links in offer emails, is stored with them. They are stored in your site's Wix data collections.

• Your monthly sign-up count, your site's time zone and published URL (to build the "Book this time" link), and your plan information (free or paid) and app instance identifiers, which Wix provides so the right features are turned on. Payments are processed by Wix; we never see your payment details.

How we use information

Only to provide the app's features: adding people to the waitlist, matching freed times to the right people, sending the offer email through the site's Automations, creating the booking a person confirms with one tap, showing the waitlist and stats in the site owner's dashboard, sending the site owner updates about the waitlist (which include the person's name and the service), tracking recovered bookings, limiting spam, and turning on the features of the plan. We do not sell or share information, and we do not use it for advertising or for any purpose of our own.

Where information is stored

All waitlist data is stored in the site's own Wix data collections (entries, settings, offers log, usage and spam guards), under the app's namespace, and in the site's Wix Contacts. These collections can only be read by the app's backend and the site owner, not by site visitors. Emails are sent by Wix Automations from the site. The app's backend runs on Wix's hosting. We keep no separate database or servers of our own, and no waitlist data is sent outside Wix. Wix's own security and privacy practices apply (https://www.wix.com/about/privacy).

Retention and deletion

• Entries stay in the site until the site owner removes them. When auto-expire is on (the default), an entry is marked as expired once its date range is over, and no more emails are sent for it. Expired entries are kept as a record for the site owner until removed.

• "Remove" in the Waitlist Pro dashboard permanently deletes the entry. The site owner can also choose to delete the person's contact from Contacts at the same time (Wix may keep a contact that has other activity on the site, such as orders).

• People who join can unsubscribe from the emails with the link in every email, or ask the business to remove them.

• When the app is removed from a site, it stops adding entries and sending offers. Data already in the site's collections and contacts belongs to the site and may stay there until the site owner deletes it in the CMS and in Contacts.

Your rights

Depending on where you live (for example under the GDPR or the Israeli Privacy Protection Law, including Amendment 13), you may have the right to know what information is held about you, and to access, correct or delete it, or to withdraw your consent. If you joined a waitlist on a business's site, please contact that business first: it controls your information and can remove you from its dashboard. Site owners, and anyone who cannot reach the business, can write to support@ak-digital.com, and we will help and reply within 30 days.

Security

Data is kept inside Wix, with access limited to the app's backend and the site owner. Visitor text in the form is validated and limited in size, and the join form is protected by rate limits and a spam trap.

Children

Waitlist Pro is a tool for businesses and is not directed to children. Site owners should not use it to collect the details of children without the consent their law requires.

Changes

If we change this policy, we will update the date above. Important changes will also be shown in the app.
